What task do you need your lighting to achieve in the space?
In general, meeting and conference rooms serve slightly different purposes. But the activities that take place in them can be grouped into one of two areas:
In the first mode of communication, you’ll need to install lighting bright enough to be functional and practical yet soft enough to create a friendly atmosphere in the room. In the second, the lighting needs to be able to be dimmed or turned off quickly and easily.
The best conference rooms are fitted with a holistic lighting system that accommodates the needs of both these core functions.
If you have a massive conference room or venue, consider providing each seat at the table with task lighting. This allows attendees to control their level of light independently from the central room lighting systems.
When selecting meeting lighting, consider the size and dimensions of the room you’re working with.
An enormous, dramatic suspension light just won’t work in a tiny meeting room. It’s neither practical nor necessary. And vice versa, insufficient lighting in a large room will leave everyone in the dark.
If the ceilings are low, you might be better with spot or ceiling lights than hanging chandeliers. These lighting options will make the ceiling appear higher than it actually is.
Lastly, is there a lot of natural light in the space? If most meetings are held during the day, you can get away with a more straightforward lighting system. If there’s no natural light, the opposite is true.
The amount and kind of light conference room light fixtures provide matters. Getting the right color temperature and brightness right can increase concentration and productivity and create a welcoming workspace.
Color temperature runs from warm or yellow at one end of the spectrum to cool (blue or white).
The scale is measured in Kelvins (K). Bulbs that produce a light similar to traditional incandescent lighting sit between 2400K and 3000K. Lights that mimic daylight run between 5000K and 6500K.
A color temperature between 4000K and 6000K is generally preferred for office spaces. This is because it more closely mimics natural light.
The next thing to consider is how bright of a light you need. In the case of a meeting room, you need to provide enough light for people to function, but not so much that they’re made to feel uncomfortable.
The light level is typically measured in Lux (Nominal Illumination Level), a measurement taken from the number of lumens per square meter.
It’s recommended that meeting spaces have a Nominal Illumination Level of between 200 and 500. For example, the US GSA recommends all government building conference rooms have a level of 300.
When it comes to lights for a conference room, it’s best to keep things as simple as possible.
If there’s a light with lots of fiddly parts hanging above your meeting table, it’s just going to become a dust collector.
And even though smart lighting can make your meeting run more efficiently, it can also cause more problems than it’s worth. Either make sure you have someone on-site to fix issues as they arise or choose a less complicated smart system.
If you want especially low-maintenance lighting, choose LED systems. LED bulbs last forever and also use far less energy than traditional bulbs.
Conference rooms, large or small, serve a clear function in the office environment. People need to share presentations, make client calls, hold roundtables, seminars, and classes, and discuss plans and proposals on paper.
